How a Sydney catering firm turned 15-page paper forms into a "Zero-Touch" Instant Booking Engine.

The event team was burning 30+ hours a month manually re-typing data from clipboards. We built a digital workflow that captures orders, processes payments, and briefs the kitchen-instantly.

Client Context

A high-volume Catering Company based in Sydney, Australia. In the events world, details are everything-dietary requirements, run times, and menu selections cannot be missed.

The Tech Stack

The business was running on a "Clipboard Bottleneck".


  • The "Double Handling" Tax: Managers filled out 12–15 page printed forms with clients, then spent 2–3 hours *per event* manually typing that data into their software.

  • Payment Lag: Invoices were generated manually after the fact, leading to dangerous gaps between booking and payment.

  • Communication Silos: Event summaries were manually typed and emailed to the kitchen and staff. If a manager got busy (or sick), the kitchen didn't get the brief.

The Architecture

The Architecture

We moved them from "Pen & Paper" to a Unified Digital Architecture. We didn't just digitize the form; we automated the entire operational chain of command.

The "Zero-Touch" Workflow:


  1. Smart Capture: Replaced the 15-page packet with a dynamic digital form that validates data upfront (no illegible handwriting).

  2. Instant Financials: The moment the form is submitted, the system calculates the costs and automatically generates/emails the professional invoice or quote.

  3. The "Gatekeeper" Logic: The system watches for the deposit. It does not bother the kitchen until the money hits the bank.

  4. Auto-Orchestration: Once paid, the system:

    • Creates the calendar invite.

    • Generates the "Run Sheet" for the event.

    • Notifies all stakeholders (Kitchen, Logistics, Staffing) with the exact event summary.

  5. Lifecycle Management: Sends automated reminders to the client as the event approaches and chases unpaid balances without human input.

Tech Stack: n8n, Supabase, Smart Forms, Auto-Invoicing.
